- Description: Keep taking meeting notes by hand, and still find every decision, action item and number weeks later. A simple system for e-ink tablets and Penlo.

Writing by hand in meetings has real advantages. It's quieter than typing, you're not hiding behind a laptop screen, and you remember more of what was said. The problem shows up three weeks later, when someone asks "what did we agree on the budget?" and the answer is somewhere in a notebook you can't search.

Here's a simple system that keeps the pen and fixes the searching. It takes about two minutes of habit per meeting.

## 1\. One notebook per meeting series

Give each recurring meeting its own notebook on your tablet: *Weekly team sync*, *Client: Northwind*, *1:1 with Sam*. One-off meetings can share a notebook like *Meetings, October*. The notebook name becomes the title in Penlo and is searchable too, so a clear name is half the work.

## 2\. Start every page the same way

Write the date and who was there on the first line. It costs ten seconds and makes every page findable by date and by person later:

Mon 14 Oct · Anna, Tom, me
Goal: agree Q4 launch date

## 3\. Mark decisions and actions

Pick two short markers and use them every time, for example **DECISION:** and **TODO:**. On an e-ink tablet they're quick to write, and in Penlo they turn into search terms. Searching *decision launch* later finds the exact line, across every meeting.

One search across every meeting you've written down.

## 4\. Close the note when the meeting ends

Your tablet saves the notebook to your cloud storage when you close it, and Penlo picks it up from there. By the time you're back at your desk, the page has been read and cleaned up: broken lines joined, misreads fixed from context. Fix any word that's still wrong right in the Text tab.

**Tip: notes arrive fastest with Dropbox.**

## 5\. Ask, don't dig

Once a few weeks of meetings are in Penlo, stop scrolling and start asking. Penlo AI answers from your notes and tells you which notebook each answer came from:

- "What did we decide about the Q4 launch date?"
- "What actions did I take on in meetings this week?"
- "Summarise everything the Northwind client asked for."

Answers come with the notebooks they're from.

If you'd rather use your own assistant, connect Penlo to [Claude or ChatGPT](https://www.penlo.app/blog/use-your-notes-in-claude-and-chatgpt/) and ask it to draft the follow-up email straight from your meeting notes.

## Sharing with people who weren't there

From a notebook's **Export** tab you can copy the text, download it as Markdown, send it to Notion, or create a share link to the cleaned-up notes. You keep writing by hand; everyone else gets readable text.

## The whole system on one card

1. One notebook per meeting series, with a clear name.
2. Date and attendees on the first line.
3. DECISION: and TODO: markers.
4. Close the note when the meeting ends.
5. Search or ask Penlo AI instead of flipping pages.
